This short document provides a quick reference to the key steps for using VIVÉ, NYC Aging’s client management system. Click on the any links bellow for more information.
Logging In Requires NYC ID
NYC Office of Technology & Innovation requires multi-factor authentication with systems managing client information. Therefore, a NYC ID is required. (
Searching for a Client
- From the Top Menu, click Client Search.
- Enter full name, address, date of birth or partial information and nicknames or other information, such as client ID and then select Search.
- Within the results, click on the desired client’s name for their details.
Entering a New Client
- If after carefully reviewing Client Search results and your client was not found check the box to confirm the client wasn’t found, select to create a New Client.
- Confirm that you have consent to enter the client’s information.
- First name, last name, date of birth and address are required as a double check to rule out duplicates.
- After consent details have been entered, enter additional demographics, enrollments, case notes, follow-ups, assessments, and more for the client.
Enrolling a Client
- Once viewing client Details (see above for searching for a client), click on the Enrollments tab.
- If an active Enrollment is not listed, select New and confirm the required details before saving.
- A client can be enrolled to a past date, but the enrollment date cannot be in the future.
Referring a Client to Another NYC Aging Program
- Once viewing client Details (see above for searching for a client), click on the Referrals tab.
- Select New Referral.
- Enter the target program, any comments and requested services.
Acknowledging, Approving or Rejecting a Referral
- From the Top Menu, click Referral Queue.
- Filter the report to display: Recently Viewed, Referrals Accepted, Referrals Acknowledge or Pending, Referrals Rejected or Referrals Sent.
- Click on the referral number to view referral details.
- View notes or details.
- Select Acknowledge to inform source program of your receipt of the referral.
- Select Approve to initiate the enrollment process.
Running a Report
- From the Top Menu, click Reports.
- Click Report Name from list of Recent Reports or browse through reports Created by Me or All Reports.
- Search for a report.
